If you’ve asked three vendors for a quote on the same idea, you’ve probably got three numbers that don’t look like they belong to the same planet. One says ₹60,000.
One says ₹4 lakh. One sends a 30-page proposal with ₹12 lakh at the bottom and a “plus AMC.”
None of them is necessarily lying. They’re just quoting for different things, and usually nobody has written down what “the thing” actually is.
This post is our honest take on custom software development cost in India for SMEs: where the money goes, what pushes the number up without you noticing, and what a quote should look like before you sign anything.
Note: all INR figures in this post are indicative ranges for custom software development cost India, based on typical SME projects. They are not quotes.
Why “starting at ₹49,999” and “₹10 lakh enterprise” both show up
Both figures are real ranges for custom software development cost India.
Here is how that plays out for custom software development cost India: the scope behind the number matters more than the number.
Both numbers are real. They’re just for very different jobs.
The ₹49,999 end is usually one of these:
- A template or white-label app with your logo on it.
- A few forms and a dashboard on a no-code or low-code tool.
- A freelancer’s estimate for the “happy path” only. Login, add record, view list. No edge cases, no roles, no reports anyone will actually use.
That can be perfectly fine. If you need a simple lead capture app or a basic internal form, don’t overpay.
The ₹10 lakh+ end is usually:
- Multiple user roles with different screens and permissions.
- Integrations with things you already run, like Tally, a payment gateway, WhatsApp.
- A mobile app plus a web admin panel.
- Proper testing, deployment, documentation and support after launch.
- Sometimes, an agency’s overheads: account managers, sales teams, office in a premium location.
Most real SME projects land somewhere in between. In our experience, a focused internal tool that replaces a messy Excel + WhatsApp process usually falls in the ₹2–6 lakh range.
Something bigger, with apps for field staff, dealer access and several integrations, tends to go ₹6–15 lakh. Treat these as indicative bands, not quotes.
Your workflow decides the number.
The real question isn’t “who’s cheapest?” It’s “are these vendors quoting for the same scope?” Most of the time, they aren’t.
Custom software development cost India drivers: roles, approvals, integrations (Tally, Razorpay, WhatsApp, IndiaMART)
Each of these items moves custom software development cost India up or down, often more than the tech stack does.
Screens are not what make software expensive. Rules are.
Here’s what actually moves the number.
1. User roles. “Admin and user” is cheap.
“Owner, branch manager, sales exec, warehouse, accounts, dealer, each seeing different data” is not. Every role means more screens, more permission checks and more testing.
A good rule: count the types of people who will log in. Each extra role adds real effort.
2. Approvals. “Manager approves discounts above 10%, but above 20% it goes to the owner, and if the owner doesn’t respond in 4 hours it escalates” sounds like one line in a meeting.
In code, it’s a small workflow engine with notifications, timeouts and audit logs. Approvals are the most common thing that quietly doubles a quote.
3. Integrations. This is where Indian SME projects get interesting.
- Tally. Almost everyone wants Tally sync. It’s doable, but it depends on your Tally version, whether it’s on a local machine or hosted, and whether you want one-way push (orders into Tally) or two-way sync (stock and ledgers back out). One-way is reasonable. Two-way, reliable sync is a project of its own.
- Razorpay (or any payment gateway). Taking a payment is easy. Handling partial payments, refunds, failed webhooks, payment links on WhatsApp and reconciliation with invoices is where the hours go.
- WhatsApp. Sending order updates through the official WhatsApp Business API needs template approvals and a provider, and you’ll pay per-conversation charges on top of development. Two-way chat flows, like taking orders on WhatsApp, cost more again.
- IndiaMART, JustDial, website forms. Pulling leads automatically into your system is usually straightforward, but each source has its own format and quirks. Deduplication (“same buyer enquired three times”) is the part people forget.
Every integration also depends on someone else’s system. When their API changes or goes down, your software needs to handle it.
That ongoing care is a cost too.
4. Reports. “Just give me a dashboard” can mean five numbers or fifty filtered reports with Excel export.
Decide which reports you’ll actually open every Monday.
5. Mobile apps. A mobile-friendly web app is often enough.
A proper Android app for field staff with offline mode, GPS check-ins and photo uploads is a different budget.
6. Data migration. Moving five years of messy Excel into a clean system takes cleaning, mapping and checking.
It’s rarely in the first quote and almost always needed.
Internal tool vs multi-tenant product: custom software development cost India
The build type is one of the biggest swings in custom software development cost India.
A simple internal tool keeps custom software development cost India low.
This is the single biggest fork in the road, and founders often don’t realise which one they’re asking for.
An internal tool is software for your own business. One company, your processes, your team.
You control the users, the rules and the data. This is cheaper to build, quicker to change, and can live with some rough edges because your team will get used to them.
A multi-tenant product is software you plan to sell to other businesses. Now you need:
- Separate data for every customer, kept secure from each other.
- Sign-up, billing, subscription plans and GST invoicing for your own customers.
- Settings so each customer can configure things their way.
- Much more testing, because you can’t call every user and explain a bug.
- Support, onboarding and documentation.
The same “order management app” can cost ₹4 lakh as an internal tool and ₹15 lakh+ as a SaaS product. If you’re thinking “we’ll use it ourselves and later sell it to others in our industry,” say so on day one.
It changes how the foundation is built. But our honest advice: build it for yourself first, run your business on it for six months, then decide whether it’s a product.
What a serious quote for custom software development cost India should include
A clear quote is the best protection against surprises in custom software development cost India.
If a quote is one line (“Inventory app — ₹3,50,000”), you’re not comparing quotes, you’re comparing guesses. A serious quote should have:
- Scope in plain language. Which users, which screens, which workflows. What’s in, and just as important, what’s out.
- Integrations listed one by one, with what direction the data flows.
- Milestones and payment schedule tied to things you can see working, not just dates.
- Timeline with assumptions (“assuming we get Tally access in week 1”).
- Who owns the code and data. It should be you. Ask for source code access and hosting in your own account, or at least a clear handover clause.
- Change request process. How new requests get estimated and approved, so scope creep doesn’t become a fight.
- Post-launch support. How long bug fixes are free, and what an AMC covers after that.
- Running costs. Server hosting, WhatsApp API charges, SMS, domain, app store fees. These are monthly and they add up. They should be visible before you start, not after.
If a vendor can’t give you this, they haven’t understood your business yet. That’s not always their fault.
It usually means nobody has done proper discovery.
How MGTech Labs scopes after discovery
This is how we keep custom software development cost India predictable for SME clients.
Discovery first is the honest way to price custom software development cost India.
We don’t quote from a one-paragraph enquiry. Not because we want to make it complicated, but because we’ve seen how wrong those numbers end up.
Here’s how we do it:
- A discovery call (free). You walk us through how the work actually happens today. Who does what, where it breaks, which WhatsApp group everything gets lost in. Screenshots of your Excel sheets help more than any requirement document.
- Workflow map. We write down the process as it is, and the version you want. Roles, approvals, integrations, reports.
- Written scope band. You get a short document with what we’d build first, what we’d leave for later, and a cost range with the assumptions spelled out. If the honest answer is “use Zoho for this part,” we’ll tell you that too.
- Phase 1, small and useful. We’d rather ship one workflow your team uses daily in 6–8 weeks than a giant system that launches in a year. Then we build on what’s working.
You own the code. You see progress every week.
And there are no surprise line items at the end.
Want a real number instead of a guess? Send us a short note on your current workflow — how orders, approvals or collections move today, and what tools you use (Tally, WhatsApp, Excel, whatever). We’ll come back with a written scope band, not a sales pitch.
